When an employee is injured at work, the first few hours are critical. As an employer in Queensland, you have a legal and ethical responsibility to act fast, support your worker, and manage the process correctly.

Here’s a step-by-step guide to doing it right.

Step 1: Make Sure the Worker Gets Immediate Medical Attention

Even if the injury seems minor, don’t delay. Offer first aid and make sure the worker sees a doctor as soon as possible — ideally one familiar with WorkCover claims.

Step 2: Record the Incident

Document the injury in your workplace incident register. Record:

  • Time, place, and nature of the incident

  • Witnesses

  • Any photos or written statements

  • Your immediate actions

This record may be reviewed by insurers or auditors later.

Step 3: Support the Worker to Lodge a WorkCover Claim

In QLD, injured workers have the right to lodge a claim. You can help by:

  • Providing the Work Capacity Certificate

  • Giving them the claim form link (WorkCover QLD online form)

  • Reassuring them that claiming is normal and supported

Don’t discourage or delay a claim — it creates liability risk and damages trust.

Step 4: Notify Your Insurer

Contact your WorkCover insurer to inform them of the incident. They’ll issue a claim number and request supporting documents (e.g. certificate, incident report).

Step 5: Plan for Recovery and Return to Work

Recovery starts early. You must work with the treating provider to build a suitable duties plan or transition strategy that aligns with medical advice and supports the worker’s healing.

RTW QLD can coordinate rehab, employer liaison, and WorkCover communication.

Step 6: Keep Communication Open

Stay in touch with your employee. Let them know you’re committed to their recovery and want them back when they’re ready.

  • Be flexible with duties and hours

  • Avoid pressure or blame

  • Document your communications
